Your Mission

Keep HOERBIGER’s Norway office running safely and efficiently by coordinating office/facilities operations, HR administration, finance support (SAP, Visma), VAT & customs compliance, and high-quality executive assistance.

How you will make a difference

  • Run a safe, well-stocked office: Manage supplies, contractors and service agreements; maintain documentation and master data.
  • Own HR administration: Keep personnel files up to date; coordinate onboarding/offboarding; administer sickness reporting (Visma & Norwegian authorities); support passports/offshore clearances; act as the point of contact for Occupational Health Service.
  • Ensure payroll & expenses flow: Control and schedule payroll/expense payouts in Visma; check expense claims for accuracy and policy compliance.
  • Support finance accuracy: Help process supplier invoices, payments, and basic credit control; support audits; keep contracts and records current in SAP.
  • Handle compliance & reporting: Coordinate VAT for Nordic countries; manage inbound/outbound customs documentation; prepare required statistics for governmental bodies.
  • Be the team’s anchor: Provide reliable executive assistance to the Managing Director; partner closely with Finance, HR, IT, Sales, and Field Service.

What you should be good at

  • MS Office proficiency and basic IT troubleshooting.
  • SAP Finance and Visma (payroll/expenses) working knowledge.
  • Norwegian and English communication with strong attention to detail.
  • Understanding of VAT in the Nordics and import/export customs.
  • Organizational skills, prioritization, and a proactive, service-oriented mindset.
